Job Description
The Reconditioning Clerk is responsible for coordinating and administering the reconditioning process of vehicles from the time they are received until they are prepared for sale or delivery. The role requires accurate record-keeping, effective communication with internal departments and suppliers, and close monitoring of vehicle repairs, servicing, cleaning and quality-control processes. Requirements
- Grade 12 / Matric.
- Previous administration or clerical experience, preferably within the motor industry.
- Experience with vehicle dealerships, workshops or vehicle reconditioning will be advantageous.
- Computer literacy, particularly Microsoft Excel and Outlook.
- Good numerical and administrative skills.
- Valid driver's licence.
Responsibilities
- Receive vehicles requiring reconditioning and ensure all relevant vehicle details are accurately recorded.
- Open and maintain vehicle reconditioning files and job cards.
- Capture vehicle information, inspection results, repair requirements and estimated costs on the relevant systems.
- Coordinate vehicles through the various reconditioning stages, including mechanical repairs, bodywork, fitment, detailing, valet and quality control.
- Obtain and process quotations from approved suppliers and service providers where required.
- Create and process purchase orders and invoices in accordance with company procedures.
- Monitor repair progress and follow up with technicians, workshops and external suppliers to ensure agreed deadlines are met.
- Communicate regularly with the Used Vehicle, Sales, Workshop and Parts departments regarding vehicle progress.
- Ensure outstanding work is identified and escalated promptly.
- Maintain accurate records of parts, repairs, labour and other reconditioning costs.
- Verify supplier invoices against approved work and purchase orders before submission for payment.
- Assist with monitoring reconditioning costs against approved budgets.
- Ensure vehicles receive the required inspections and quality checks before being released for sale or delivery.
- Always keep the vehicle status and reconditioning system up to date.
- Assist with arranging vehicle movements between dealerships, workshops, suppliers and other locations.
- Maintain an organised filing system for all vehicle-related documentation.
- Ensure company policies, procedures and internal controls are followed.
- Provide administrative support to the Reconditioning Manager or Used Vehicle Manager as required.
